Who we are

PlugWheel LLC is a limited liability company organized under the laws of the State of Wyoming, United States. We build and run automation, AI agents, data pipelines and custom software for businesses. In this policy, “we” and “us” mean PlugWheel LLC.

Our registered address is 1621 Central Ave, Cheyenne, Wyoming 82001, USA. We work remotely, so please write to us at hello@plugwheel.com rather than by post. We decide how the personal information described here is used, so we are responsible for it.

What this policy covers

This policy covers plugwheel.com, the chat on it, the booking window, the contact form and the details of people we work with or talk to about work.

When we build or run a system for a client, the data inside that system belongs to the client. We handle it only on their instructions and under our agreement with them, and the client’s own privacy policy applies to it. If that is your situation, contact the business you dealt with first; we will help them answer you.

What we collect and why

What we collect and why
WhereWhat we collectWhy
Contact formYour name, email address, company if you give it, your message and your consent to a replyTo read your brief and answer it
ChatThe messages you type, the page you were on and a random conversation idTo answer your questions and follow up if you ask us to
Chat detailsYour name, email address or phone number, if you share them in the chatTo contact you about what you asked
BookingWhat you enter in Calendly: usually your name, email address and notes for the callTo hold the call you booked
AnalyticsPages visited, how you arrived and technical details such as browser, device and approximate locationTo see which pages help people and fix the ones that don’t
ClientsContact details of the people we work with, proposals, invoices and project correspondenceTo do the work, bill for it and keep the records the law requires

We don’t ask for sensitive information such as health details, financial account numbers or government identity documents on this site. Please leave anything like that out of the chat and the contact form.

The chat and AI

The chat is answered by an AI model provided by OpenAI. The messages you type are sent to OpenAI to write each reply, and we store the conversation so the team can follow up. A person on our team can read stored conversations.

The chat only knows what is published about PlugWheel. Its replies can be wrong, and nothing it says is a quote or a commitment. Anything we agree to is confirmed in writing by a person.

A random chat id and the messages on screen are kept in your browser’s session storage until you close the tab, so the conversation survives a page change.

Booking a call

Booking opens Calendly’s scheduler in a window on this site. What you enter there goes to Calendly and to us, under Calendly’s own privacy policy as well as this one. The call itself runs on Google Meet.

Analytics

We use Google Analytics 4 to understand how the site is used. It sets cookies and receives technical details about your visit, as Google describes in its own policy. We use it to count and compare visits to pages, not to identify you.

You can block or delete these cookies in your browser, or install Google’s opt-out browser add-on. The site works the same without them. Every cookie and storage key is listed on the cookies page.

Our site doesn’t change its behavior when a browser sends a Do Not Track signal. We treat a Global Privacy Control signal as a request to opt out of any sale or sharing of personal information, which we don’t do in any case.

When you pay an invoice

Card payments are handled by our payment provider on its own secure page. We receive confirmation of the payment, the amount and the last digits of the card, never the full card number. We never ask for card details by email, chat or phone.

Who else handles your data

Only the services we use to run this site and our business. Each acts for us and may use your data only to provide its service, except that Calendly and Google also handle it under their own policies:

  • Amazon Web Services, which hosts this site and its database
  • Our email provider, which delivers form and chat notifications to our team
  • OpenAI, which writes the chat’s replies
  • Google, for analytics, and Google Meet for calls
  • Calendly, for bookings
  • Our payment provider, for card payments on invoices

We may also share information when the law requires it, to protect our rights in a dispute or with a buyer if the business is ever sold, in which case this policy keeps applying to it.

We don’t sell your personal information, we don’t share it for cross-context behavioral advertising and we don’t use it for profiling that produces legal or similarly significant effects.

Where your data is processed

We are a US company, and our providers store and process data mainly in the United States. If you use this site or work with us from outside the United States, your information will be transferred to and processed in the United States, where privacy laws may differ from those where you live.

How long we keep it

  • Briefs and details shared in the chat: up to 24 months after you send them. If we start working together, what we need moves into our client records
  • Chat conversations: up to 12 months
  • Client records, proposals and invoices: as long as the law requires, usually seven years for financial records
  • Analytics: event-level data is deleted after 14 months, the longest Google Analytics allows on our plan; aggregated reports that don’t identify anyone are kept

You can ask us to delete your data sooner at any time, unless the law requires us to keep it.

How we protect it

The site is served over HTTPS. Stored briefs, chats and leads sit in a database that only our own team can reach, through an admin area protected by a password, sign-in throttling and sessions that expire. The forms and the chat are rate-limited and screened for automated abuse.

No system is perfectly secure. If a breach affects your personal information, we will notify you and the authorities as required by the breach-notification laws of the US states where affected people live.

Your privacy rights

Residents of several US states, including California, Colorado, Connecticut, Virginia, Texas and Oregon, have rights under state privacy laws. We give the same rights to everyone who asks, wherever they live. You can ask us to:

  • Tell you what personal data we hold about you and give you a copy
  • Correct it if it is wrong
  • Delete it
  • Send it to you, or to another company, in a common format
  • Opt out of any sale, sharing or targeted advertising, although we do none of these
  • Withdraw a consent you gave, without affecting what happened before

Email hello@plugwheel.com from the address you used with us, so we can confirm it is you. An authorized agent can ask for you with your written permission. We confirm we have your request within 10 business days and answer within 45 days, telling you what we did and why. We won’t treat you differently for asking.

If we turn down a request, you can appeal by replying to our answer. We will look at it again and reply within 45 days. If you are still unhappy, you can contact your state attorney general.

Apps we publish

Before we publish an app under PlugWheel’s name, we add a section to this policy that sets out what the app collects and why, matching its App Store privacy details. Until then, no app of ours collects data under this policy.

Email from us

We email you only to answer you, to arrange or deliver work or about an invoice. We don’t add you to a mailing list. If we ever send marketing email, each message will name us, give our address and include a working unsubscribe link, as the US CAN-SPAM Act requires, and we will honor it.

Children

This site and our services are for businesses. They aren’t directed to children under 13, and we don’t knowingly collect personal information from them, in line with the US Children’s Online Privacy Protection Act. If you think a child has sent us information, tell us and we will delete it.

Changes to this policy

When this policy changes, the date at the top changes with it. If a change affects how we use information we already hold, we tell the people affected before it applies.

This policy is governed by the laws of the State of Wyoming and applicable US federal law.
