Workflow & operations automation

End-to-end business processes, integrations between the tools you already use and approvals that wait for the right person. Built around how your team actually works.

What we build

Handoffs that happen without being chased.

Most operations work is a chain. A request arrives, someone checks it, someone files it and someone else is told. We build the chain so every link happens in order, with a record of when.

  1. Approvals that route themselves

A request goes to the person who can say yes, with everything they need to decide in one place. If it sits too long, they get a reminder. The answer is written back to the record the request came from.

  2. Intake from email and documents

Orders, invoices and forms arrive as emails and attachments. We pull out the fields that matter, check them against what you already hold and create a clean record. Nobody retypes a PDF.

  3. Integrations between the tools you already pay for

Your CRM, accounting system, inbox and spreadsheets each hold part of the picture. We connect them so a change in one reaches the others, and decide which tool owns each record so there is one true copy.

  4. Work that runs on a schedule

The Monday report, the month-end export, the weekly check on supplier prices. Anything that happens on a calendar runs on one, and lands where the team will see it.

How it runs

Every handoff leaves a trail.

Once a process runs on its own, nobody is watching it by default. So the system watches itself, and says when it needs a person.

  • Monitoring

Every run is logged with what came in, what each step did and where it ended. When someone asks what happened to an order, the answer is one search away.

    Sample log line:RunningOrder intake · run 2231 · step 3 of 5

  • Retries

A tool that times out or a service that is briefly down gets another try after a pause. If it still fails, the run stops where it is and the right person is told, with nothing half-written.

Sample log line:RetryingAccounting sync timed out · attempt 2 of 3

  • Human checkpoints

Spending above a limit, a change to a contract, anything sent in your name. Those steps wait for a person to approve, edit or skip, and the decision is logged with their name.

Sample log line:Needs your OKPurchase above limit · waiting for Priya

  • Handover

You get every workflow, the accounts they run on and a runbook that explains each one in plain words: what it does, what it touches and what to check when it stops.

Sample log line:DoneWorkflows moved to your account · 6 of 6

In our work

Where it shows up in our work.

  • Heart Capital Inc.Client work

    One platform, one pipeline

Heart Capital ran its website, applications, courses, interviews and client billing as separate properties. The rebuild put jobs, applications and placements into one pipeline in custom Odoo 18 modules, from the public job board through to invoicing.

Questions

Asked about this kind of work.

All questions

  • Do you only use no-code tools?

No. We use n8n, Make or Zapier when they fit, and write code when they don’t. The tool follows the process, not the other way around.

  • Can a person approve steps before they run?

Yes. Any step can wait for a person: a reply to a customer, an update to a record, a payment request. You decide where those checkpoints sit, and you can move them later.

  • What happens when something breaks?

The systems we build log every run, retry what can safely be retried and raise an alert when a person needs to look. A failure is reported, not hidden.
